Time Management

There is no gainsaying against the dicum that time is precious. It is also said that time flies or time is fleeting. "Time and tide waits for none" is a well-known saying.

In the cosmic order time is unlimited and infinie. But in this world , on earth , we have life span which comprises only for few decades. In this short period we try to do so many things. We are born ; we grow up ; we get education ; we get married ; we have chirldren ; we have to struggle for livelihood and life of our own and we die. This is what our life is and what we are.

In such case , we cannot take life lightly. Of course , we need some time of laughter , fun , entertainment and amusement. But most of the time we have to remain serious as we have to work hard and seriously. It is because only hard , well-planned and serious work can achieve our goal.

We also have to get training in various fields and we should not fight shy of it. We should do everything a the right time. We must be punctual and regular in our work.

There is no doubt that if we always go on lokking at our watch and feel despondent if a single moment is wasted , we can get no happiness , but only tension. A life of stress and strain is no life. One wants joy , happiness , peace and contentment in life.

The best way to chalk out

Soon, you will increase the percentage of the customers who are generating more revenue for you.

Customer Service

Try as far as possible to stop these customers from buying from you. Here's how you can do so. If you find customers are demanding more than what your company provides, simply say no to them and direct them to competitors who will be happy to obtain new customers.

Marketing

80% of your revenue comes from 20% of your advertizing campaign. Identify which advertising campaigns are successful in generating the most revenue. Cut down on advertizing in the other areas. In this way, you will find that your advertizing cost will dramatically reduce without making much difference to your sales.

Partners and Affiliates

20% of your affiliates are generating 80% of the income. Break all partnerships with affiliates which are not generating revenue for you and give your attention to those which are. You will find that you will spend less time doing things which will matter to your bottom line.

Products

80% of your revenue comes from 20% of your products. Identify which 20% of your products which are contributing to 80% of your revenue and concentrate on these. You need to improve on or eliminate the rest of the products. In this way, you are reducing inventory and other related costs for these unprofitable products.

Identify those things which are important and do them first. Identify unimportant ones and eliminate them as far as possible.

Investment Portfolio

80% of your investment gains derive from 20% of your portfolio. Review your investment portfolio and identify which 20% of your stocks are generating 80% of you investment gains. Find out the reasons why these stocks have performed better than the rest, and continue to invest in these types of stocks. Eliminate the rest or move them to more lucrative and profitable ones.

Wardrobe

20% of the clothes in your wardrobe is worn 80% of the time. If you are aware of this, the next time you clear your wardrobe, you can be ruthless and discard clothes which you have not worn, but have stayed in your wardrobe for a long time. Give them away! You will also be aware that you have to be more careful when shopping because most of the things that you buy are often seldom or never worn. Live simply and you will enjoy more.

Being selective and doing less, may result in more. So, analyze your business and your life to ensure more efficient use of time and resources, and still generating the same, if not more revenue for your business.

Using Outside Services in Business

Using outside services for parts of your business can bring about cost savings as well as help to manage your business's time more efficiently. It is a misnomer that doing everything in house is more cost efficient. Sometimes specialized equipment and programs are necessary to make the item needed more professional looking and compliment your company.

The proper tools make whatever needed look politically correct. If you buy those tools, you have to hire someone to do the task. If you do not know a lot about that market that may not be the best idea. Image is the name of the game. Image creates sales.

If you use that business enough that it is worth acquiring that business that is another venture. If you own a catalog company and acquire a vendor who makes products you sell, or purchase a distributor, it is usually because your company invests enough money into that business that acquiring that business is to your advantage.

Either you take on those employees or you hire your own and let those go based on the circumstances. Because the next thing you want to do is make sure you are not taking on employees to do double to the work, if you already have people taking care of that assigned position.

At every venture you have to look at costs. The most cost efficient is the way to go. It is not worth the investment unless you find the money you spent make everything more worth while.

Salesperson Survival on the Road

One of the greatest challenges for many traveling Sales Representatives working a geographical territory is time and travel management. Maximizing your time with prospective and current clients is vital to your success.

I don't know if there are actual statistics to back this up however it is my belief that a lack of organization and time management may be a significant reason that salespeople fail on the road. I've known sales reps over the years that thought if they drove around enough they would earn bragging rights to tell everyone how many miles they put on their worn out two-year old car. Somehow this would bring them success. I'm not sure exactly how that would work but I don't recommend it.

Here are some travel management tips that will help to get you to all of your accounts on a regular basis; give you time to provide all of the services required to those accounts; and still provide enough time to solicit new business, and keep your sanity through it all.

All Accounts Are Not Equal

It's simply not possible or necessary for the most part to visit all accounts with the same frequency.

Grade all of your accounts; A,B,C, or D. "A" accounts are your best accounts (or have the potential to be). "D" accounts are your least productive.

Guideline to number of visits:

"A" = Weekly

"B" = Twice per month

"C" = Once per month

"D" = Once every six weeks.

Of course these are only guidelines to give you the idea of the strategy.

Take a blank calendar and number the weeks; 1,2,3, and 4.

Decide on which week and day to visit a certain piece of geography in your territory. Areas where you have "A" accounts should be visited every week. Areas with only "B" or "C" accounts,twice per month. Areas with only "C" or "D" accounts,once per month, and with only "D" accounts, every six weeks.

  Enter the names of the accounts you will visit on each date. Follow your account grading. Don't try to see all accounts in the same geography every visit. Use the extra time to prospect new business, expand business with current accounts, extra service requirements, etc.

Let your accounts know when you will visit. You'll be amazed at how they come to expect you based upon your schedule.

Plan all activities around this geographical schedule. There will be times when you need to abort your plan but make sure that it makes sense. Jumping at the whim and request of every account will not work. They will never respect your time and in many cases become accustomed to calling you with "I need this now" calls. If you stick to your schedule, your accounts will understand that you are busy and they will come to respect your time ... and you!

I hope that these ideas will help you road warriors find a little more time in your week to get it all done. Take some of this new found time to add balance to your life.

Time Management- Importance

A major aspect of efficiency is the effective management of time. A well organized manager who makes good use of the time available can ensure objectives are successfully achieved. Managerial time is so expensive that every organization must benefit by examining issues of time management.

Important issues in time management

Nature of job:

A person whose job involves regular contacts with others is more likely to be interrupted than persons working in a more solitary are;

Those people working in an established area will have relatively fewer unpredictable events to deal with than a person employed in a new and developing area of work;

Identifying the key tasks and responsibilities in a job will show which should be given the greatest amount of a manager's time;

A detailed diary of time spent on activities in a given period of time is an easy way of finding out how time is spent and the nature of interruptions allowed. Time is often lost in unnecessary meetings and in traveling to meetings. It is worth exploring newer methods of communication to overcome the waste of time at meetings.

Personal attributes of jobholder:

          The personality and amount of self-confidence someone has can have a marked effect on their efficiency. The more self-assured and assertive individual can deal more effectively with people who "waste" their time. Some people can only deal with one item at a time, others can deal with several simultaneously. Some like to delegate work extensively, others prefer to keep jobs to themselves.

The context of a person's job:

          The nature of the people working with a manager greatly influences the use of his time. (A person's boss, for example, could constantly interrupt his work). Some managers adopt an "open door" policy which can affect personal work efficiency despite its "popularity" in management textbooks. Others adopt an approach discouraging informal contacts. The extent to which accuracy and quality of work is considered vital can also have an effect on time taken over the work involved.

   The demands and constraints of any job can be examined by considering the following:

Demands or the essential items which cannot be passed on; from subordinates, peers, senior staff and people outside the organization

Constraints or items stopping a person from carrying out a job in the way they would prefer like the resources available, the limitations of equipment, physical location, the policies and procedures of the organization, legal rules and the attitudes of other people. .

When all demands and constraints have been identified, a manager is faced with choices which refer to what and how the work is to be done. A detailed analysis of a person's job can identify what a manager is making and how the range can be extended to give more positive control over choices.

Easy Ways to Be More Productive

We lead busy lives. There is always something to do. Then at the end of the day, we realize that we didn’t accomplish all that we wanted. It would be nice if we could have a 36 hour day instead of a 24 hour day, wouldn’t it?

Well since that won’t happen, why not work to be more productive with the time you already have? You may think you are being as productive as you can. But the results of implementing the suggestions that follow will definitely have an impact.

Use a Timer

A timer is one of the best tools you can use. If you know you want to complete a task in a certain amount of time, the timer can help you accomplish your goals. Also, when something you are doing is mentally demanding, a timer can help you understand when to take a break. For example, you can set the timer for thirty minutes. Try to get as much work done in the thirty minutes as you can. After you do that, you can take a break.

Multi-Task

Multi-tasking is something that some people are naturally good at. Other people can only focus on one thing at a time. However, there are some things that are so easy to multi-task that even people who don’t think they are good at it can accomplish. For example, you can talk to your friends and family while folding the laundry. Hands-free cell phone accessories make it easier than ever to do more than one thing at once.

Create a To-Do List

Each day, you should list all of the things you need to get done. What are the five most important items? Make sure you do those before you do anything else. Learning how to prioritize is an essential skill for those who get more done.

Spend Less Time on Errands

Errands can eat up a lot of time. Think about ways you can group your errands together to save time. If the post office is by the super market it doesn’t make sense to visit them on different days. The more errands you can group, the more time you will save.
